Privacy policy

CouncilSoft Inc. runs councilsoft.com. This page explains what we collect when you visit the site or get in touch, what we use it for and the choices you have. We keep it short and we don't sell your information.
What we collect
We only collect what you send us and a small amount of technical information that keeps the site working and free of spam.
- Free audit and contact forms: your name, business name, phone number, email address, town, the services you're interested in, your message and how you found us.
- Audit search: the business name and town you type in.
- Newsletter: your email address.
- Spam protection: a scrambled, one-way code made from your IP address (we never store the address itself) and your browser type. We use these to limit repeat submissions.
- Analytics: pages viewed, how you arrived, your general location (city level), device and browser, plus whether you sent a form or tapped our phone number. See the analytics section below.
We don't ask for payment details, government ID numbers or health information on this site, so please don't include them in a message.
How we use it
- To reply to you, prepare your free audit and send you a written quote.
- To do the work you hire us for, under the agreement we sign with you.
- To send the newsletter if you signed up for it. Every issue lets you unsubscribe, or you can email us.
- To keep the site secure and stop spam and abuse.
- To understand which pages help people and which don't, so we can improve the site.
We don't sell or rent your information, and we don't use it to build advertising profiles.
Analytics and cookies
We use Google Analytics 4 to count visits and see which pages lead to an inquiry. It sets first-party cookies (named _ga and _ga_ followed by an ID) that tell repeat visits apart. Google Analytics 4 does not log or store IP addresses, and we have not turned on Google's advertising features.
If your browser sends a Global Privacy Control signal, analytics doesn't load at all. You can also block it with Google's opt-out browser add-on or most ad blockers. The site works the same either way.
Our forms use Cloudflare Turnstile to check that a person, not a bot, is sending them. It runs a short check in your browser and doesn't show you puzzles or track you across other sites.
We don't use advertising pixels or third-party ad cookies.
Who helps us run the site
A few service providers process information for us, only to provide their service:
- Railway hosts the website and its database.
- Cloudflare provides our domain name service, security, the spam check on forms and storage for images.
- Google provides analytics and our business email.
We may also share information if the law requires it, to protect our rights or the safety of others, or as part of a sale or merger of our business, in which case this policy keeps applying to it.
How long we keep it
We keep inquiry details for as long as we need them to respond to you, work with you and keep basic business records. Newsletter addresses stay until you unsubscribe. Analytics data is kept for 14 months, then Google deletes it. You can ask us to delete your details sooner.
Your choices
You can ask us to show you the information we hold about you, correct it, delete it or stop sending you email. Email us or call and we'll respond within 30 days. We may need to confirm it's really you before we change or share anything.
Keeping it safe
The whole site runs over an encrypted connection. Access to inquiries is limited to our team through an invite-only admin with two-factor sign-in available. No system is perfectly secure, but we take reasonable steps to protect what you send us.
Children
This site is for businesses. It isn't directed at children under 13, and we don't knowingly collect their information.
Information we handle for clients
When you hire us, we may get access to your Google Business Profile, website or other accounts to do the work. That access, and any customer information inside those accounts, is covered by our agreement with you rather than this page. Our software products, RankAutomatic and Mazingi, have their own privacy terms.
Changes to this policy
If we change how we handle information, we'll update this page and the date at the top. Big changes will be easy to spot.
